Are you a highly skilled and organized professional looking for a challenging role that combines administrative expertise with event management?

Airpelago is now expanding the team by hiring an Office & Event Manager to provide comprehensive support to their senior leadership team and manage the day-to-day operations of the office. This role requires exceptional administrative skills, event management expertise, and the ability to maintain confidentiality while handling sensitive information.

About the role:


As the backbone of our operations, you will collaborate closely with senior management to provide administrative support, manage events, and oversee office logistics. Your role will be pivotal in ensuring our office runs efficiently while supporting various teams across the organization. Key responsibilities:


  • Office administration: Handle daily office duties and manage office supplies - oversee external contracts for IT, office suppliers, and other services.
  • Event management: Plan, coordinate and execute events of varying sizes, including corporate meetings and large-scale events (accommodation for off-sites, flight tickets etc)
  • Team support: Assist the rest of the organization with administrative tasks (mainly CEO), support HR and other functions if needed
  • Documentation and reporting: Prepare and organize documents, reports, and presentations
  • Travel: Open to travel on short notice
  • Other: Provide support for special projects if needed, occasionally flying drones for ongoing client projects


Requirements & qualifications:


  • Minimum 4 years in an similar administrative role supporting upper management
  • Proven experience in organizing and coordinating events (internal and external)
  • Proven ability to negotiate with vendors and suppliers
  • Fluent in Swedish and English, with additional languages being advantageous
  • Proficient in the Google Suite and / or Microsoft Office Suite
  • Driver’s licence
